Instrument Calibration Gatekeeper

This agent checks every planned test against the calibration and qualification status of the instrument it needs. Each morning it publishes a list of instruments that are not fit to use, and at run time it raises a warning naming the exact item that lapsed. A supervisor can override with a written reason.

The Problem

The instrument was due last Tuesday. The run started anyway.

An analyst loads a sample onto an HPLC to hit a release deadline. The calibration sticker reads current, but the balance feeding that method quietly went past due three days ago. Nobody catches it until a data review two weeks later, and now every result on that instrument is in question. The re-test, the investigation, and the delayed batch all trace back to one date nobody was watching.

What Changes

A check that runs before the sample does

The agent reads the calibration and qualification due log, maps each method to the instruments it touches, and compares that against the planned runs. It posts a daily not-fit-to-use list and, when a run is queued on a lapsed instrument, it sends a warning naming the item and its due date. A supervisor decides whether to hold the run or override.

Humans stay in control: the agent warns and lists, but a supervisor signs any override with a reason and decides when a run proceeds.

HOW THE AGENT WORKS

TRIGGERLLMAPIDECISIONACTIONWAIT
TRIGGERDaily and run-queue triggerFires each morning and when a run is queued in the LIMS.
APIPull calibration logReads the calibration and qualification due dates for every instrument.
APIPull runs and method mapReads the planned runs and which instruments each method needs.
LLMMatch runs to lapsesCompares each run's instruments against their due dates and qualification state.
DECISIONAny instrument past due
ACTIONPost list and warningsPublishes the daily not-fit list and sends a warning naming the lapsed item.
The agent does not stop a run or clear an instrument for use. Your QC supervisor does. The agent removes the manual cross-check between a due-date spreadsheet and the day's run schedule.

HOW TO BUILD IT

Three levels of depth. Pick the one that matches where you are.

For the ops person who needs to understand what's involved and brief their team.

Calibration and Run DataDue dates, method map, planned runs
The AgentWorkflow engine + LLM
QC Bench and SupervisorDaily list and per-run warnings

WHAT YOUR TEAM PROVIDES ONCE

  • Calibration due log - the export listing each instrument, its last calibration, and its next due date
  • Qualification status - the IQ, OQ, and PQ state for each qualified instrument
  • Method-to-instrument map - which instruments each test method depends on
  • Planned run schedule - the queue of tests waiting to run and on what
  • Override log - a place to record who cleared a run and why
What happens day-to-day: each morning the team gets a short list of instruments not fit to use. When someone queues a run on one of them, a warning lands with the lapsed item named. The supervisor either holds the run or overrides with a reason, and that reason is logged.

For the IT person or technical lead who needs to scope the integration.

INQUIRY SOURCES

Calibration log export from the asset management system, CSV or API.
Method-to-instrument mapping held in the LIMS or a maintained sheet.
Planned run list from the LIMS scheduler or the daily worklist.

WORKFLOW ENGINE (N8N)

Daily schedule and run-queue webhook
Fetch calibration and qualification log
Fetch planned runs and method map
Match each run to lapsed items
Is any instrument past due
Record override decisions
Post list and send warnings

CONNECTS TO

Calibration log (Blue Mountain RAM / ProCalV5 / GAGEtrak)Read: calibration and qualification due dates, instrument IDs. Write: nothing.
LIMS (LabWare / STARLIMS / LabVantage)Read: method-to-instrument map, planned runs. Write: nothing.
Override log (SharePoint / Google Sheets / QMS record)Read: prior overrides. Write: supervisor override reason and timestamp.
Notification (Slack / Teams / Email)Read: nothing. Write: daily not-fit list, per-run warnings.
WITHOUT PMS API

Without API access, the team drops a daily CSV export of the calibration log and the run plan into a watched folder, and the agent runs on that snapshot. The daily list still works, but per-run warnings lag until the next export.

WITH PMS API

With API access to the calibration system and LIMS, the agent pulls due dates and run plans directly and warns in near real time as runs are queued. Best experience.

For the person who wants to build this agent step by step. Each node below maps to an n8n workflow node.

TRIGGERNode 1
Trigger - fires daily and on new runs
n8n Schedule Trigger at 6am plus a Webhook node the LIMS calls when a run is queued.
Output: A run event or the daily tick that starts the workflow.
APINode 2
API - pull the calibration log
HTTP Request to the calibration system export endpoint. Auth via API key in a header credential.
Output: JSON array of instruments with last-calibrated and next-due dates and qualification status.
APINode 3
API - pull runs and method map
Two HTTP Request nodes to the LIMS: one for planned runs, one for the method-to-instrument map. Merge on method ID.
Output: JSON of runs, each with the instruments it will use.
LLMNode 4
LLM - match runs to lapsed items
LLM node comparing today against each due date. Set temperature to 0.
Output: { run_id, fit_to_run, lapsed_items[] }
You compare planned lab runs against instrument calibration status. Today is {today}. Here are the planned runs with the instruments each uses: {runs}. Here is the calibration and qualification status per instrument: {calibration_status}. For each run, list any instrument whose next calibration due date is before today or whose qualification is not current. Return a JSON array; each element has run_id, fit_to_run (true or false), and lapsed_items (array of objects with instrument_id, reason, due_date). Respond ONLY with valid JSON. No explanation.
INPUT
today=2026-08-18; runs=[{run_id:R-104, method:M-22, instruments:[HPLC-07, BAL-03]}]; calibration_status={HPLC-07: due 2026-09-01 qualified, BAL-03: due 2026-08-15 qualified}
OUTPUT
[{"run_id":"R-104","fit_to_run":false,"lapsed_items":[{"instrument_id":"BAL-03","reason":"calibration past due","due_date":"2026-08-15"}]}]
DECISIONNode 5
Decision - route lapses to warnings
IF node: if lapsed_items is not empty, go to the warning branch.
Output: Runs with lapses on the true branch, clean runs ignored.
ACTIONNode 6
Action - post list and warnings
Slack node posts the daily list to the QC channel and sends a direct warning to the run owner and supervisor.
Output: A posted message per lapsed run and one daily summary.
MVP vs Advanced — Where To Start
MVP — START HERE
  • Start with one lab and one calibration log export
  • Load the method-to-instrument map by hand
  • Send the daily not-fit list to one channel
  • Add the per-run warning after the list is trusted
  • Log overrides in a single sheet
  • Review a week of warnings with the supervisor
ADVANCED — ADD LATER
  • =+ Add qualification status next to calibration
  • =+ Pull the method map from the LIMS
  • =+ Warn on instruments approaching due within a window
  • =+ Route warnings by instrument owner and shift
  • =+ Trend repeat lapses from override reasons
  • =+ Hold queueing in the LIMS until override, where policy allows
