Vendor Document Validity Watchdog
This agent reads your vendor document register and onboarding checklist every day, then reports which mandatory documents are expiring, already lapsed, or missing from a supplier's pack. It gives procurement one ranked list instead of a spreadsheet everyone forgets to open. Nothing about a vendor's approval status changes until a person reviews the list and acts.
The Problem
The order went out. The vendor's insurance had lapsed three weeks earlier.
A buyer raises a purchase order against an approved supplier on a Tuesday afternoon. The vendor's public liability certificate expired at the end of last month, but the expiry date sat in a column nobody had sorted since the last audit. The register is accurate, it is just never read in time. By the time someone notices, the goods are already booked in.
What Changes
A daily read of every expiry date, ranked by what bites first
The agent scans the vendor document register each morning, compares every expiry date against today, and checks each approved supplier's onboarding pack against the required checklist. It produces two lists: documents expiring or already lapsed per vendor, and onboarding packs with gaps. Procurement gets the list; procurement decides what to chase and whether a vendor stays usable.
Humans stay in control: the agent lists what is expiring or missing and drafts the chase note, but your procurement lead reviews each flag and decides whether a supplier stays approved.
HOW THE AGENT WORKS
HOW TO BUILD IT
Three levels of depth. Pick the one that matches where you are.
For the ops person who needs to understand what's involved and brief their team.
WHAT YOUR TEAM PROVIDES ONCE
- Vendor register access - a read connection to where document types and expiry dates live
- Onboarding checklist - the list of mandatory documents every approved vendor must hold
- Notification channel - a Slack, Teams, or email destination for the daily list
- Renewal windows - how many days ahead you want expiry warnings, for example 30 and 60
- Vendor owners - who in procurement owns each supplier so chases reach the right person
For the IT person or technical lead who needs to scope the integration.

CONNECTS TO
Without API access, procurement drops a daily or weekly register export into a watched folder and the agent reads that, posting its list to the notification channel. It cannot write flags back, so the check date lives only in the posted list.
With API access to the vendor master, the agent reads expiry dates directly and writes flag status back next to each document, so the register itself shows what was checked and when. No exports, no copy paste. Best experience.

You are checking chemical vendor documents for validity. Today is {today}. Renewal warning windows are {windows} days. Using vendor {vendor} and the flagged items {items}, write a short, polite note asking them to send renewed or missing documents by {due_date}. Respond ONLY with valid JSON. No explanation.{"vendor":"Vendor A","items":[{"type":"public_liability_insurance","status":"expired"},{"type":"gmp_certificate","status":"missing"}],"due_date":"2026-08-25"}{"subject":"Action needed: renewed documents for your approved supplier record","body":"Hello, our records show your public liability insurance has expired and we do not hold a current GMP certificate. Please send both by 2026-08-25 so your approved supplier status stays active."}- Connect a read-only pull of the vendor register with document types and expiry dates.
- Hard-code the renewal windows, for example 30 and 60 days.
- Run the expiry classification on a daily schedule.
- Post the flagged list to one Slack or Teams channel.
- Skip write-back at first; let the posted list be the record.
- Check the list against a known lapsed vendor to confirm it catches real cases.
- Write flag status and check date back to the vendor master.
- Add per-vendor owners so chase notes route to the right buyer.
- =+ Track renewal response so a vendor that ignores two notices escalates.
- Add category-specific checklists so a haulier and a raw-material supplier get different required packs.
- Feed expiry data into a monthly compliance summary for audit.
- =+ Add a hold recommendation that suggests pausing a vendor when a critical document lapses, for a human to confirm.
