Shipment Document Pack Assembler

The agent reads each order and pulls the correct current safety data sheet in the destination language, the certificate of analysis for the exact lot shipped, and the matching technical data sheet. It checks each document against the version index and flags anything stale before the pack goes out. Customer service gets a ready-to-send pack instead of hunting through folders and hoping the version is current.

The Problem

The customer got last year's safety data sheet. The regulator that inspected them noticed.

A rush order ships on Friday and someone grabs the SDS from a folder that was last updated a year ago. The classification changed in the meantime, so the customer files it, ships the product on, and an inspector flags the out-of-date sheet. Now there is a complaint, a corrective action, and a customer asking why the wrong document went out. The lot COA was fine, but the SDS version was not, and nobody caught it in the rush.

What Changes

The right version, the right language, the right lot, every time.

For each shipment the agent reads the product, the lot, and the destination, then pulls the current SDS in the correct language, the COA for that exact lot, and the matching TDS. It checks each document against the version index and holds the pack with a warning if any file is superseded or missing. Customer service reviews the assembled pack and sends it.

Humans stay in control: the agent assembles the pack and flags stale files, and your rep confirms and sends it to the customer.

HOW THE AGENT WORKS

TRIGGERLLMAPIDECISIONACTIONWAIT
TRIGGERShipment ConfirmedA shipment is confirmed in the ERP and the pack build starts.
APIRead Order and Lot DataLooks up the product, the lot shipped, and the destination country.
LLMSelect Documents and LanguageChooses the SDS language, the lot COA, and the matching current TDS.
DECISIONAny Version Stale or Missing?
APIAssemble Document PackGathers the chosen files into one pack with any warnings attached.
ACTIONSend Pack to RepDelivers the assembled pack to the rep to review and forward to the customer.
The agent does not send documents to the customer on its own. Your customer service rep does. The agent removes the folder-hunting and the risk of shipping a superseded version.

HOW TO BUILD IT

Three levels of depth. Pick the one that matches where you are.

For the ops person who needs to understand what's involved and brief their team.

Your Order and LibraryOrders, SDS, TDS, COA
The AgentWorkflow engine + LLM
Your Rep's InboxReady-to-send pack

WHAT YOUR TEAM PROVIDES ONCE

  • The SDS and TDS library - your current safety and technical data sheets
  • Per-lot certificates of analysis - the COA for each lot produced
  • Order, shipment, and destination data - what shipped, to whom, and where
  • The version index - which document version is current for each product
  • Language mapping - which SDS language each destination needs
What happens day-to-day: when a shipment is confirmed, the rep gets a pack with the correct SDS, COA, and TDS already gathered. If a version looks stale or a lot COA is missing, the pack comes with a warning instead of going out wrong.

For the IT person or technical lead who needs to scope the integration.

WITHOUT PMS API

Without API access, the rep pastes the order and lot into a form and the agent assembles the pack from the shared library, still checking every version against the index.

WITH PMS API

With API access to the ERP and document library, the agent reacts to each confirmed shipment, pulls the current files by version, and drops the assembled pack in the rep's inbox within minutes. No folder hunting. Best experience.

TRIGGERNode 1
Webhook - fires on shipment confirm
Trigger on the shipment-confirmed event from the ERP, or on a manual order entry.
Output: Order number, product, lot, and destination.

LLM - select documents and language
Send the shipment, language map, and available documents to the model and parse the JSON reply.
Output: The required SDS, COA, and TDS with the chosen language.
You are a shipping documentation assistant. Given a shipment, decide which safety data sheet, certificate of analysis, and technical data sheet are required and in which language. Input: {shipment} with product, lot, and destination, plus {language_map} and {available_docs}. Choose the SDS in the destination language, the COA that matches the exact lot, and the current TDS for the product. Respond ONLY with valid JSON. No explanation.

Retrieve the chosen SDS, COA, and TDS from the library and the COA store.
Output: The candidate document files and their version tags.
DECISIONNode 5
IF - hold if any version is stale
Compare each file version to the current version index and hold the pack if any is superseded or the lot COA is missing.
Output: Either a clean pack or a pack with warnings.

Send Email - deliver the pack to the rep
Attach the assembled pack, list any warnings, and email the customer service rep.
Output: A sent pack ready for the rep to review and forward.
MVP vs Advanced — Where To Start
MVP — START HERE
  • List each product's current SDS versions and languages and the current TDS in a version index.
  • Make sure per-lot COAs are stored where the agent can reach them by lot number.
  • Build the trigger and order lookup in n8n.
  • Add the LLM node with the selection prompt and test it on a few past shipments.
  • Fetch the chosen files and compare each version to the index, holding stale ones.
  • Email the assembled pack to the rep and have them check it before sending to the customer.
ADVANCED — ADD LATER
  • =+ Trigger straight off the ERP shipment-confirmed event.
  • =+ Pull files by version directly from the document library API.
  • =+ Auto-flag any product whose SDS was superseded since the last shipment.
  • =+ Add customs and dangerous-goods paperwork to the pack where required.
  • =+ Log every pack sent, with versions, for a shipment audit trail.
  • =+ Notify stewardship when a destination needs an SDS language you do not yet have.
