QA Hold Ageing and Release-Priority Agent

The agent ranks every held and quarantined lot by how close it is to expiry and by the single item blocking its release. For each lot it names that one blocker, whether a pending test, an open deviation, or a missing signature, and suggests which to clear next. QA reviews the board, acts, and signs off releases.

The Problem

The lot expired on hold. Nobody saw it ageing until the write-off.

Lots go on hold and quarantine and then sit. The release order follows whoever shouts loudest, not which lot is closest to expiry. One month later a good lot is written off because a single missing signature was never chased. Meanwhile a lot with weeks of shelf life left jumped the queue.

What Changes

The hold board, ranked by what is ageing and what is blocking it.

The agent reads the hold and quarantine list with manufacture and expiry dates, then pulls the open items against each lot: pending tests, open deviations, missing signatures. It ranks the lots most at risk of expiring first and names the single blocker that would release each one. It suggests which lot to clear next, and QA acts on it.

Humans stay in control: The agent ranks the holds and names the blocker for each lot. Your QA team decides what to clear, acts on it, and signs every release. The agent moves nothing and releases nothing.

HOW THE AGENT WORKS

TRIGGERLLMAPIDECISIONACTIONWAIT
TRIGGERDaily hold-board refreshRuns each morning and on demand to rebuild the hold and quarantine board.
APIPull hold and quarantine listReads held lots with manufacture and expiry dates from ERP or LIMS.
APIRead open items per lotGets pending tests, open deviations, and missing signatures from the QMS.
LLMScore ageing riskRanks lots by remaining shelf life and time already spent on hold.
LLMFind the single blockerIdentifies the one item that, if cleared, would release each lot.
DECISIONAt risk before expiry?
LLMBuild ranked board and next-clearAssembles the ranked board and the clear-this-next suggestion with reasons.
ACTIONRoute board to QASends the ranked hold board to the QA channel for review and action.
The agent does not release or dispose of any lot. Your QA reviewer does. The agent removes the silent ageing and the guesswork on what to chase first.

HOW TO BUILD IT

Three levels of depth. Pick the one that matches where you are.

For the ops person who needs to understand what's involved and brief their team.

Your ERP / LIMSHold list and dates
The AgentWorkflow engine + LLM
QA review channelRanked hold board

WHAT YOUR TEAM PROVIDES ONCE

  • Hold and quarantine list - lots currently blocked from release
  • Manufacture and expiry dates - shelf life per held lot
  • Pending tests - QC results still outstanding per lot
  • Open deviations - unresolved investigations tied to a lot
  • Missing signatures - batch record approvals not yet signed
What happens day-to-day: Each morning the agent rebuilds the hold board from the ERP hold list and the QMS open items. It ranks the lots by how close they are to expiry and names the one blocker holding each back. QA opens the board, sees which lot is about to age out and exactly what to chase, and clears it. Every release is still reviewed and signed by QA.

For the IT person or technical lead who needs to scope the integration.

WITHOUT PMS API

From a hold-list export and a deviations spreadsheet it still ranks by expiry and names blockers, with test status pasted in by QA. Less current, still useful.

WITH PMS API

Connected to the ERP hold list, LIMS test status, and the QMS open items, the agent rebuilds a ranked board with a live blocker per lot every morning. Best experience.

For the person who wants to build this agent step by step. Each node below maps to an n8n workflow node.

LLM node (Claude) that scores ageing risk and names the single blocker per lot.

You are a QA hold-board analyst at a chemical plant. Given held lots with dates and their open items, rank the lots by ageing risk and name the single blocker that, if cleared, would release each lot.

Today: {today}
Held lots: {lots_json}
Open items per lot: {open_items_json}

For each lot, compute days to expiry and days on hold. Rank most at risk of expiring first. Name exactly one blocker per lot from: pending_test, open_deviation, missing_signature. Add a short reason and a clear-this-next flag on the single most urgent lot. Do not release or dispose of any lot.

Respond ONLY with valid JSON. No explanation.
